How to Plan Your PopHaus Party

What do you need to host a PopHaus party?
To host PopHaus you need permission to use the property, a clear, level 20 × 17 ft setup area, approximately 14 ft of overhead clearance, power access at the setup location and safe access for delivery and setup. PopHaus has no built-in floor. It is designed for approximately 20–30 guests, depending on the event layout, furniture, equipment and space needed for dancing.

1. Choose the event location
Driveways, parking pads, side lawns, warehouse floors and barn yards can all work. Pick the most open, level spot with a clear path from where the delivery vehicle can park. PopHaus delivers within Erie & Niagara County.
2. Confirm property permission
If you don't own the property — a rented home, a venue, a business lot or a park — get permission for an inflatable setup, power use and your planned end time before you book.
3. Check space, clearance and surface
Site requirements
- A clear, level 20 × 17 ft setup area
- Approximately 14 ft of overhead clearance — watch for tree limbs, power lines, rooflines and gazebos
- No built-in floor: PopHaus sets up on a suitable level surface such as grass, asphalt or concrete
- Power access at the setup location
- Safe access for delivery and setup — flag tight gates, stairs or slopes when you book
4. Power
You'll confirm working power access at the setup location when you book. PopHaus reviews power details with you before the event; if your site is remote or you're unsure, mention it in your quote so it can be checked in advance.
5. Delivery, crew access and setup timing
Setup begins approximately one hour before your event, so keep the setup area and path clear by then. The crew returns at the agreed teardown time, normally the following morning.
6. Guest count
PopHaus is designed for approximately 20–30 guests, depending on the event layout, furniture, equipment and space needed for dancing. For a larger guest list, use PopHaus as the dance space and the surrounding area for food, the bar and seating, with guests moving in and out.
7. Music and custom selections
Professional sound and party lighting are included. A DJ, bartender, custom vinyl sign and custom décor can be requested and are custom-priced separately; they are confirmed after you book. On a tighter budget, a well-built playlist with no dead air works for many backyard birthdays and offsites.
8. A four-hour run of show
- Doors (first hour): mingling and warm-up music, lighting dialed back, sound at conversation level.
- Peak (hours two and three): lights and sound up — the part guests remember.
- Wind-down (last 30 minutes): lower the tempo and lighting. A soft close beats a hard cutoff.
Noise tip: for a residential event with a 10 p.m. cutoff, plan the peak from about 8 to 9:45 so the wind-down lands on time. Always follow your local noise ordinance.
9. Fall and winter heating
PopHaus can be heated for suitable fall and winter events. Plan a coat area near the entrance and clear, salted walkways.
10. Weather and safe access
Every setup depends on weather, site conditions and safe access. PopHaus only reschedules for unsafe wind (over 40 mph) or lightning, at no charge.
11. Deposit and balance
Rental starts at $199 per hour with a four-hour minimum ($796 minimum known-price rental). A 50% deposit reserves an eligible available date, and the known-price balance is due on the event date before setup. If you requested custom selections, their approved prices are added separately.
12. What happens after booking
You'll receive a booking confirmation email. PopHaus follows up on site details and any custom selections, and you'll receive a secure link to pay the remaining balance.
13. Event-day preparation
- Clear the setup area and path before the crew arrives
- Keep pets, vehicles and furniture out of the setup area
- Keep open flames — sparklers, candles, cigars — outside and away from PopHaus
- Have your remaining known-price balance paid before setup
Booking timeline
Two weeks' notice is comfortable, and popular dates go earlier. Shorter notice is sometimes possible if the calendar allows — call 716-697-6485 to check.
